Volare Wellbeing Ltd ("we", "us", "our") is committed to protecting your personal data and respecting your privacy. This policy explains what information we collect through this website, how we use it, and your rights under UK GDPR and the Data Protection Act 2018.

What data we collect

We collect personal data in the following ways on this website:

  • Contact form — first name, last name, email address, phone number, service of interest, and any additional information you choose to provide.
  • Mailing list sign-up — email address only.
  • Advertising cookie — on our advertising landing page only, and only where you have accepted it, a cookie set by the Meta Pixel. This is described in the Cookies and advertising section below.

We do not intentionally collect special category data (such as information about your health, mental health, religious beliefs, or other sensitive matters). Because the contact form includes a free-text field, please do not include sensitive personal details in your message. If you need to share something sensitive, we will arrange a more appropriate way to do so once you have made contact.

When you visit the site, our hosting provider may automatically process limited technical data, such as your IP address, in its server logs in order to deliver the site securely and reliably.

Why we collect it and our legal basis

We collect your data for the following purposes:

  • To respond to enquiries — when you submit the contact form, we use your information to get back to you about your enquiry. Our legal basis is legitimate interests (Article 6(1)(f) UK GDPR): it is in our and your interest that we can reply to you. Where your enquiry relates to taking steps towards a service agreement, our legal basis may also be that the processing is necessary to take steps at your request before entering into a contract (Article 6(1)(b) UK GDPR).
  • To send our newsletter — when you sign up to our mailing list, we use your email address to send you updates about our work and resources. Our legal basis is consent (Article 6(1)(a) UK GDPR). You can withdraw your consent at any time by unsubscribing, with no effect on the lawfulness of processing before withdrawal.
  • To measure our advertising — where you have accepted our advertising cookie, we use the information described below to understand whether our adverts are reaching the people we hope to reach. Our legal basis is consent (Article 6(1)(a) UK GDPR), and we rely on your consent under Regulation 6 of the Privacy and Electronic Communications Regulations 2003 (PECR) to store information on, or access information from, your device. You can withdraw your consent at any time through the Cookie Settings on this website, with no effect on the lawfulness of processing before withdrawal.
  • To deliver the website itself — to serve pages, fonts and icons and keep the site secure and working. Our legal basis is legitimate interests (Article 6(1)(f) UK GDPR): we have an interest in providing a functioning, secure website.

Cookies and advertising

We do not use cookies for website analytics. We do not track how visitors move around this site.

We use one advertising cookie, on one page only, and only if you agree to it.

Meta Pixel. On our advertising landing page, we use the Meta Pixel — a technology provided by Meta that helps website owners understand how visitors interact with their website after viewing or clicking a Meta advertisement. It may also be used to measure the effectiveness of advertising campaigns and support relevant advertising audiences. Where you accept it, the Meta Pixel sets cookies on your device and sends Meta information about your visit and the actions you take on that page.

The Meta Pixel does not load anywhere on this website unless and until you have accepted it. If you reject it, or take no action, nothing is set on your device and no information is sent to Meta.

Your cookie choice. When the advertising cookie could be used, you will see a banner giving you a straightforward choice to accept or reject it. Your choice is stored in your browser's local storage, on your own device. This record never leaves your device and is not sent to us or anyone else; it exists only so that we can apply your choice and demonstrate that you made it. It is strictly necessary for operating your consent and so does not itself require consent.

You can change or withdraw your choice at any time using the Cookie Settings link in the footer of every page. If you withdraw consent, we clear the Meta cookies from your browser and stop sending information to Meta.

In relation to the collection of your data through the Meta Pixel and its transmission to Meta, Volare Wellbeing Ltd and Meta Platforms Ireland Limited act as joint controllers. Meta's subsequent use of that data is governed by Meta's own terms and privacy policy. Information about how Meta processes your data, and the choices available to you, is set out in the Meta Privacy Policy.

Booking an appointment

Where our website links to our online booking page, that page is provided by Microsoft Bookings and opens on a Microsoft website. If you choose to make a booking, the details you enter — such as your name, email address and appointment time — are submitted to and processed by Microsoft on our behalf so that we can arrange and manage your appointment. Our legal basis is that the processing is necessary to take steps at your request before entering into a contract (Article 6(1)(b) UK GDPR).

How your data is stored

Our website forms are processed by Formspree, a third-party form handling service. We use two separate Formspree forms: one for contact enquiries and one for mailing list sign-ups. When you submit either form, your data is transmitted to and stored on Formspree's servers.

Key points from the Formspree Privacy Policy:

  • Formspree does not sell, rent or lease your data to third parties.
  • Formspree is a US-based company. Your data is transferred to and processed in the United States.
  • Formspree processes and retains data in accordance with its privacy policy and applicable service terms.
  • You can request deletion of your data directly from Formspree by contacting team@formspree.io.

When a form is submitted, Formspree also sends us a notification email containing the submission details. This means your personal data is additionally stored within our Microsoft 365 / Outlook business email environment, provided by Microsoft. Microsoft's privacy information is available in the Microsoft Privacy Statement.

International transfers

Some of the providers we use are based outside the UK, so using this website may involve a transfer of your personal data overseas.

  • Formspree is based in the United States. Formspree relies on the EU Standard Contractual Clauses together with the UK Addendum as its safeguard for UK-to-US transfers, in line with its data processing terms.
  • Microsoft operates internationally and may process data using infrastructure in different countries as part of delivering our business email and online booking. Where this involves a transfer of your data outside the UK, it is subject to Microsoft's contractual data protection terms, including the UK Addendum to the EU Standard Contractual Clauses where applicable.
  • Meta — where you have accepted the advertising cookie. Meta Platforms, Inc. is certified under the UK Extension to the EU-US Data Privacy Framework, and Meta additionally relies on the EU Standard Contractual Clauses with the UK Addendum where applicable.

How long we keep your data

  • Contact enquiries — retained for 12 months from the date of submission. After this period, we delete them from both our Formspree account and the corresponding notification email in our mailbox.
  • Mailing list — retained until you unsubscribe or request removal.
  • Booking records — retained for 12 months after the appointment, unless you go on to receive a service from us, in which case they are retained under the arrangements for that service.
  • Advertising data — where you have accepted the advertising cookie, data collected through the Meta Pixel is retained by Meta in accordance with Meta's own retention practices, as described in the Meta Privacy Policy.
  • Your cookie choice — stored in your browser until you clear your browser data or change your choice. We do not hold a copy.

Cookies placed on your device have their own individual lifespans, which are set out in our Cookie Policy.

Who we share your data with

We do not sell, rent or share your personal data with third parties for marketing purposes.

Your data is shared only with the providers that help us run this website, respond to you, and promote our work:

  • Formspree, as our form processing service provider.
  • Microsoft, as our email provider, where contact form and mailing list notifications are received and stored, and in connection with online appointment booking.
  • Meta, in connection with the Meta Pixel and our advertising on Meta platforms, where you have accepted the advertising cookie.

We use these organisations as service providers to process personal data in connection with our website enquiries, business email, appointment booking and website delivery. Their processing is subject to their respective contractual and data protection terms. As set out above, we and Meta act as joint controllers in relation to data collected through the Meta Pixel and transmitted to Meta.

Our website also links to our profiles on LinkedIn, Instagram and Facebook. These are ordinary links: no data is sent to those platforms unless you choose to click through, at which point their own privacy policies apply.

Your rights

Under UK GDPR, you have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Rectification — ask us to correct inaccurate or incomplete data.
  • Erasure — ask us to delete your personal data.
  • Restriction — ask us to restrict how we use your data.
  • Object — object to our use of your data where we rely on legitimate interests.
  • Data portability — where we process your data based on consent (our mailing list) by automated means, ask us to provide it to you in a structured, commonly used, machine-readable format, or to transfer it to another provider where technically feasible.
  • Withdraw consent — if you signed up to our mailing list, you can unsubscribe at any time. If you accepted our advertising cookie, you can withdraw your consent at any time through the Cookie Settings on this website.

We will respond within one month of receiving your request. We may extend this by up to two further months where a request is complex or where we receive a number of requests, and we will let you know if that happens.

Because Meta acts as a joint controller for data collected through the Meta Pixel, you can also exercise your rights in relation to that data directly with Meta. If you contact us about Meta Pixel data, we will pass your request on to Meta where we are not able to deal with it ourselves.

If you have a concern about how we handle your data, we would appreciate the chance to address it first, so please contact us.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) if you believe we have not handled your data appropriately.

Young People's Data

Volare Wellbeing Ltd provides services that may involve children and young people. However, our general website contact form is primarily intended for enquiries from adults, including parents, carers, professionals and commissioners.

If you are under 18 and wish to contact us through the website, we encourage you to involve a parent, carer, teacher or another trusted adult where appropriate.

Please do not use the website contact form to provide detailed medical, mental health, safeguarding or other sensitive personal information.

We do not use advertising technologies to profile children, and we do not knowingly target advertising at people under 18.

Where a child or young person goes on to receive a service from us, appropriate privacy, consent, confidentiality and safeguarding arrangements will be addressed separately as part of that service.

We may update this policy from time to time. The date at the top of this page will reflect any changes.
